Overview

Clinics often lose leads because inquiries arrive after working hours, response times are slow, and appointment booking still depends on manual admin work. We built an AI receptionist and booking automation system on top of GoHighLevel, n8n, and OpenAI to handle inquiries instantly, qualify leads, book appointments in real time, and keep CRM data fully synchronized.

The challenge

Medical, dental, and aesthetic clinics were struggling with fragmented lead handling and appointment scheduling. Messages from website chat, Telegram, and other channels were often answered too late, while manual CRM updates increased errors and made double bookings more likely.

This created three core problems:

  • Lost leads due to delayed replies, especially outside business hours.
  • No centralized automation for pipeline tracking and contact updates.
  • Inefficient booking and follow-up workflows that relied on staff availability.

The solution

We designed and implemented a modular AI receptionist system that combines conversational AI with CRM and workflow automation. The chatbot captures and qualifies leads, checks appointment availability, confirms bookings, updates the CRM, and triggers follow-up automations without manual intervention.

The solution included:

  • AI chatbot for lead capture, qualification, and FAQ handling.
  • GoHighLevel CRM setup with pipelines, calendars, workflows, and opportunity tracking.
  • n8n automation flows for real-time sync, routing, tagging, and follow-ups.
  • Multi-channel communication through web chat and Telegram, with future-ready support for WhatsApp and voice flows.

Our role

We delivered the system end to end, from conversation design to CRM logic and workflow orchestration. The goal was not just to launch a chatbot, but to create a reusable clinic automation framework that could be deployed fast across similar businesses.
